Program Administrator

(One year contract with possible extension)

People to People AID Organization (Canada) Inc. (P2P) is a non-profit charitable organization that works on community health focusing on Hiv/aids, Mental Health, and overall Health determinants. P2P aims to contribute to community health by engaging in community education, mobilization and victim support focusing on vulnerable groups in the Greater Toronto area. P2P also partners with community based organizations in Ethiopia to provide life sustaining support to people affected by HIV/AIDS and to support capacity building for community health.

We are looking for a  highly organized, motivated,  self-directed, innovative, and results-oriented  individual, to work with the Board of Directors and volunteers,  to provide leadership, manage and administer P2P’s programs andservices. Plan and develop innovative new programs and projects to respond to ongoing community needs; forge new and effective partnerships and develop organizational resources to foster growth and build the Organization’s capacity.

 

The Program Administrator will report to the P2P board of directors under the close supervision of the P2P executive committee and will have the following key duties and responsibilities.

 

Program and Partnership Development:

  • Provide leadership and oversight to P2P’s Orphan Sponsorship Program
  • Maintain ongoing communication with partner organizations administering P2P’s orphan sponsorship program in Ethiopia and individual orphan sponsors in Canada: ensure timely transfer of funds and report submission; regularly maintain, update and present program data to the orphan committee and P2P board.
  • Work with the Orphan Committee to steadily develop, promote and expand the program
  • Provide staff support to P2P’s Standing Committees in developing and executing program targets and events as approved by the Board 
  • In consultation with P2P board and functional committees, formulate projects/initiatives that fall within the objectives and mandate of P2P and also fall within the funding criteria of the major public and private funding organizations in Canada who fund initiatives related to health and health determinants, support to victims of pandemics, orphans and the vulnerable population. 
  • Maintain an up to date register of funding organizations that support charities within the realm of P2P’s main objectives. 
  • Complete funding proposals that advance P2P’s cause and also have a high likelihood of qualifying for securing funding. 
  • Strengthen partnerships and collaborative working relationship with Youth Groups; forge new partnerships with organizations working on community health and health determinants.
  • Foster collaborative working relationships with current community partners and create opportunities for collaborative projects
  • Lead the recruitment, training, support and stewardship of a strong volunteer team to assist in the effective execution of programs and resource development

 

Administration and Fundraising:

  • Provide administrative support to the Board of Directors and Standing Committees including scheduling meetings, preparing and distributing agenda and meeting minutes.
  • Perform all administrative duties including responding to phone, email and other inquiries as well as efficiently maintain all online and paper files and documents.
  • Provide ongoing verbal and written activity reports to the Board
  • Work with the Events & Fundraising Committee in the planning of fundraising events
  • Coordinate administrative tasks relating to fundraising events: consisted of, but not limited to, managing online fundraising software and e-mail registration; data entry, managing database; tracking event registration; attendance and funds and track expenditure as well as rigorous follow up with event sponsors.
  • Support and implement Community Giving strategies consistent with the organization strategy

Communication:

  • Work with P2P’s Public Relation Committee to develop a communication strategy; updating websites; and other communications vehicles;  creating and updating communication materials and disseminating as required
  • Produce promotional, marketing materials to promote events and programs
  • Consistently seek out public forums and media events that relate to and aid P2P’s objectives and with the approval of the board represent P2P in appropriate events including making presentations and promoting P2P’s cause.

Finance:

  • Work with Standing Committees and the Board to develop Program and operating budgets and provide accurate and timely budget and expenditure reports to the board and standing committees.
  • Perform financial administrative tasks: account payable and receivable; deposits, reconciliation tracking and maintaining a record of all revenues and expenditures and providing reports to the Treasurer

Key Qualifications: The successful candidate will have:

  • Post-secondary education in social sciences, or related field  
  • 3 to 5 yrs. experience managing/coordinating & administering programs, staff & volunteers
  • Demonstrated ability in handling financial administration, developing and monitoring budget
  • Experience in working with the not-for-profit and charitable sector
  • Experience in working with volunteer Board and Committees
  • Proficiency in Amharic, Ethiopian language (s) a definite asset
  • Experience in program administration and project management and proposal/grant writing
  • Proficient with key office applications and basic accounting software like Quick Books.
  • Strong time management skills, ability to prioritize and manage concurrent tasks efficiently with minimal supervision and ability to work flexible hours as needed.
  • Superior organizational skills, event planning and execution
  • Well-developed analytical and problem solving skills
  • Excellent interpersonal skills and the ability to establish effective working relationships with volunteers, sponsors and partners
  • Ability to work independently and effectively as part of a team
  • Effective oral & written communication skills, demonstrated ability to prepare reports & proposals

You must also have:

  • Understanding and analysis of community health and social justice issues
  • Highly developed work ethics and personal integrity
  • Experience, or sensitivity and understanding of working with diverse cultures
  • Ability to provide support and monitor progress and manage programs long distance
